Answer first

An allowance is a commercial placeholder; a selection is a specific approved product decision. The workflow must show when one becomes the other and what the variance changes.

Write the allowance so it can be reconciled

  • Name the category and included basis
  • State whether labor, delivery, tax, accessories, and markup are included
  • Name who selects and purchases
  • State the decision deadline and consequence of delay
  • Define how overage and credit are calculated

Build a decision schedule

  • Organize by room and category
  • Work backward from rough-in, ordering, and installation dates
  • Identify linked decisions such as valve before trim
  • Assign decision owner and approver
  • Escalate overdue decisions before they consume float

Convert approval into action

  • Record manufacturer, model, finish, size, vendor, and attachments
  • Capture approval evidence
  • Reconcile price against allowance or scope
  • Create change documentation when required
  • Track ordered, received, inspected, and installed states
