Privacy Policy
This Privacy Policy describes how Eminence Services LLC ("we", "us") handles personal information in connection with Service Agent OS (the "Service").
1. Information We Collect
Account information. Name, email, phone, password hash, role, profile photo if provided, and the tenant organization you belong to.
Customer Data. Information you and your team enter into the Service — contacts, projects, photos, notes, estimates, invoices, payments, communications. Customer Data may include personal information about your clients, vendors, and employees.
Usage data. Pages viewed, actions taken, IP address, user agent, device type, timestamps. Used to operate the Service, debug, secure it, and improve it.
Integration data. When you connect Google services, Stripe, communications providers, an AI assistant, or another integration, we receive and process information within the scopes you authorize and use it to provide the requested integration.
QuickBooks integration data. If your workspace owner connects QuickBooks Online, we receive the QuickBooks company identifier and name, OAuth tokens, and Accounting-scope records needed for owner-selected customer mapping, account and item configuration, export verification, and reconciliation. We send only the Customer, Estimate, Invoice, and applied Payment information the owner reviews and confirms for export. We do not use QuickBooks data for advertising, sell it, or use it to train third-party AI models.
2. How We Use Information
- Provide, maintain, and improve the Service.
- Authenticate users and protect against fraud and abuse.
- Send transactional and service-related communications.
- Comply with legal obligations.
- Generate de-identified, aggregated metrics for product
analytics and AI quality measurement.
- Power AI features (see AI Disclosure).
We do not sell personal information. We do not use Customer Data to train third-party AI models without your prior written consent.
3. Sub-processors
We use the following categories of service providers and may add or change them on notice: hosting and file storage (Vercel), database infrastructure (Neon), transactional email (Resend), mapping and connected productivity services (Google), payment processing (Stripe), customer-authorized accounting integration (Intuit), and communications providers selected or connected by the Customer. When a Customer connects its own AI assistant, that Customer-selected provider processes data under the Customer's account and authorization. A current list is available on request.
4. Sharing
We share information with (a) sub-processors under written agreements, (b) other users in your tenant as needed for the Service to function, (c) authorities when legally required, and (d) acquirers in a corporate transaction subject to equivalent protections.
Mobile / SMS data is never shared for marketing. Your SMS / text-messaging consent ("opt-in") data and mobile phone number will not be shared with anyone except the texting service provider that delivers the messages. We do not sell, rent, or share this information with any other third parties or affiliates for their own marketing or promotional purposes. See Section 11 (Text Messaging).
5. Retention
We retain Customer Data for the duration of your subscription plus 30 days for export, after which we may delete it. Backups may persist for up to 90 days. Audit logs and security records may be retained longer where required for legal or security purposes.
QuickBooks OAuth credentials are retained only while the workspace remains connected and are encrypted in storage. Disconnect and tenant offboarding destroy local credentials and attempt provider-side revocation. Tokenless mapping, operation, webhook, reconciliation, and audit metadata may remain for the Customer Data and backup periods above. Disconnecting Service Agent OS does not delete accounting records already created in QuickBooks; the customer controls those records in QuickBooks.
6. Your Choices
You can update account information from Settings, export your data, and request deletion. Tenant administrators control role and access for their team. For requests under GDPR, CCPA, or similar laws, contact us at privacy@eminence.business.
A workspace owner can disconnect QuickBooks from Settings to stop future access and exports. The customer remains responsible for managing or deleting records held in QuickBooks under its Intuit account.
7. Security
We use TLS in transit, encryption at rest where supported by our infrastructure providers, role-based access, and tenant-isolated databases. No system is perfectly secure; we will notify affected parties of a confirmed breach as required by law.
8. Children
The Service is not directed to children under 13 (or 16 where applicable), and we do not knowingly collect their personal information.
9. International Transfers
Information may be processed in the United States and other countries where our sub-processors operate. By using the Service you consent to such transfers.
10. Changes
We may update this Policy. Material changes will be announced and require re-acceptance on next login.
11. Text Messaging (SMS)
If you provide your mobile number and opt in (for example, by checking the SMS consent box on a web form), we may send you account and transactional text messages such as appointment reminders, estimate and invoice notifications, and project updates. Consent to SMS is voluntary and is not a condition of any purchase. Message frequency varies and message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. We record the date, time, IP address, and consent wording at the moment you opt in as proof of consent. As stated in Section 4, we do not share mobile or SMS opt-in data with third parties for their marketing. Full details are in our SMS Terms & Conditions.
